How to Track Shop Expenses and Staff Salaries Without a Register
Written by Content Manager, Aswaaqo Team · · Updated · 2 min read
In short
To know your real profit, record every shop expense — rent, electricity and gas bills, stock purchases, staff salaries — in one place as it happens. In Aswaaqo, turn on Expenses under My Business → Settings → Features to record employees, salaries and bills; the Store tab then shows sales and expenses side by side for any date range.
Many shop owners know their daily sales but not their profit. The gap is expenses: the electricity bill paid from the till, the advance given to a worker, the rickshaw for stock. Recorded in different places — or not at all — they quietly eat your margin.
The expenses every shop should record
| Expense | How often |
|---|---|
| Rent | Monthly |
| Electricity, gas, internet | Monthly |
| Staff salaries and advances | Monthly / as given |
| Stock purchases | Daily / weekly |
| Transport and loading | As they happen |
| Repairs and equipment | As they happen |
| Committee or loan payments | Monthly |
How to record expenses in Aswaaqo
- Open My Business → Settings → Features and turn on Expenses.
- Add your employees once, with their salary.
- Record salaries and advances when you pay them.
- Record bills and other expenses the same day — it takes seconds.
- Open the Store tab, pick a date range, and see sales and expenses together. Tap Print Report for a full report.
A simple monthly profit check
Profit = Sales − Cost of stock sold − Expenses
Example for a small kiryana store:
| Rs. | |
|---|---|
| Sales | 900,000 |
| Cost of stock sold | 790,000 |
| Expenses (rent, bills, 1 salary) | 70,000 |
| Profit | 40,000 |
(Illustrative numbers only.) If expenses grow faster than sales, you'll see it here first.
Staff advances: avoid end-of-month arguments
Record every advance with the date. When salary day comes, the balance is clear for both of you.
Keep udhar separate from expenses
Credit you give customers isn't an expense — it's money owed to you. Track it in the digital khata.
